Salon online booking system in Japan – let clients book on your own website

A salon online booking system, chosen well and connected properly to your website, moves bookings away from portals and phone calls and onto your own site. That means fewer interruptions during treatments, clearer requests for specific stylists and less spent on listing fees. This page covers how to choose a system, how to run it alongside portals like Hot Pepper Beauty, how to build it into your website – and how UNANOBO shows you a free demo with the booking flow already in place.

  • Free demo – decide after you see it
  • By message, in Japanese or English
  • One person from demo to launch

FREE DEMO

Your salon site with booking – free demo

Send us your current website, Instagram or portal URL. We build a free demo salon site where clients go from menu to booking, and you decide after seeing it.

  • Booking buttons placed on real pages
  • A plan to connect your current system
  • Try the booking flow on your phone

A phone number or an email address is enough – whichever suits you.

Why connect a booking system to your salon website

With a salon online booking system linked to your own website, a client who finds you on Instagram or Google Maps can pick a menu and book an open slot in one go. You capture bookings outside opening hours, and the phone stops pulling you away from the chair.

It is time to rethink your booking setup if any of these sound familiar:

  • Most bookings arrive by phone or DM and you answer them mid-treatment
  • Even regular clients book through a portal, so listing fees and point costs keep adding up
  • Your website's booking button simply sends people to your portal page
  • Clients cannot see each stylist's availability, so they hesitate to request someone
  • Last-minute cancellations and no-shows keep happening and you have few ways to remind people

As a first step, count last month's bookings by channel – phone, LINE, portal, website. You will quickly see which share you want to move to direct booking.

What to compare when choosing a salon booking system

In Japan there are many options, such as STORES Yoyaku, RESERVA, Airリザーブ (Air Reserve) and SALON BOARD, the management tool behind Hot Pepper Beauty. The easiest way to compare them is by how well they match the way your salon actually takes bookings.

  • Menus and duration: does it calculate the time for combined menus such as cut plus color?
  • Stylists: can clients request a stylist or choose "no preference", and can you set how assistants are scheduled?
  • Seats and equipment: can it prevent clashes on shampoo stations or private rooms?
  • Notifications and cancellations: automatic confirmations and day-before reminders, and a visible cancellation policy
  • LINE: can clients book or get reminders through your LINE Official Account?
  • Client records: visit history, treatment notes, allergies and other cautions
  • Cost and contract: monthly fee, per-booking fees, payment fees, minimum term

Pricing typically ranges from free plans to several thousand or tens of thousands of yen per month, and features vary a lot between plans. Once you have two or three candidates, use the free plan or trial to enter your real menu and make a test booking on your phone as a client would.

Using portals like Hot Pepper Beauty alongside direct booking

A practical split for many salons: portals bring first-time clients, while regulars book through your website and LINE. The main risk when you use both is double booking – two channels filling the same slot.

  • Pick a system that syncs availability with your portal, or manage slots in one place only
  • From the second visit, tell clients they can book the next appointment on your website or LINE
  • If you offer a perk for direct booking, keep it within the portal's terms and Japan's rules on advertising claims
  • Keep menu names and prices identical on the portal and your site so nobody gets confused

Whether two systems can sync, and how, depends on the combination, and the specs change over time. Check each provider's current documentation before you commit.

How to build booking into your salon website

There are two main ways to connect: a button that opens the booking page, or the booking screen embedded inside your site. Either way, fewer taps to a confirmed booking means more direct bookings.

  • Button placement: keep a booking button fixed at the bottom of the phone screen, and add it to the home, menu and staff pages
  • Menu page: show price and duration, and let each menu lead straight into booking
  • Staff page: photos and specialties for each stylist, linked to their own booking
  • Other entry points: set the same booking URL on your Google Business Profile, Instagram profile and LINE Official Account
  • Tracking: measure booking clicks and completed bookings in GA4 to see which pages bring them

Before launch, have everyone in the salon make a real booking on their phone and check that confirmations and reminders arrive and that cancelling is clear. For the overall site structure, see beauty salon website design, and for booking features in any business, websites with a booking system.

What to prepare and common mistakes

The part that takes longest is agreeing on your salon's rules. Have these ready and both the setup and the website build go smoothly:

  • A menu list with names, prices, durations and which items can be combined
  • Each stylist's working pattern and the menus they take requests for
  • Your cancellation policy and how late same-day changes are accepted
  • Booking limits – how many hours ahead, how many months in advance
  • Photos of the salon and staff, and your logo files

Typical mistakes: durations set too short so the day gets overbooked, prices that differ between the booking page and the website, and notification emails with an unclear sender name that land in spam. Start with a little slack in your slots and adjust after a month or two of real bookings. For longer treatments such as esthetics or hair removal, see also esthetic salon website design.

How UNANOBO works: a free demo with the booking flow built in

Before you commit to anything, UNANOBO builds a free demo website based on your salon's style and menu. The booking buttons and the path from the menu page are already in place, so you can see exactly how a client reaches a booking before you decide.

If you already use a booking system, we connect it as it is; if you are still choosing, we help you narrow down the options that fit how you take bookings. The process is free demo, feedback, launch, growth. The founder handles every project personally, from the first demo to MEO and Google Ads after launch, and everything runs by message in Japanese or English.

FAQ

Is the demo really free?

Yes. Building the demo costs nothing. You get a working salon website with booking buttons, based on your style and menu. If you decide not to go ahead, there is no charge.

Can I keep my current booking system?

In most cases, yes. If your system provides a booking URL or an embed code, the new website connects to it smoothly. If you are unhappy with your current system, we can suggest alternatives.

Should I stop listing on Hot Pepper Beauty?

That depends on your salon. Many keep the portal for new clients while moving regulars to booking on their own site and LINE, which lets you review listing costs gradually. Watching the share of each booking channel helps you decide.

How long until the website is live?

It depends on the number of pages and how ready your materials are, but a salon website typically takes one to two months. Booking system setup runs in parallel once your menu and staff details are ready. You get a concrete schedule after seeing the demo.

What do I need to send for a demo?

The URL of your current website, Instagram or portal page is enough to start. A menu list and logo make the demo closer to the real thing. Where photos are missing, we use placeholders to show the layout first.

Can we do everything without meeting in person?

Yes. Everything runs by message, in Japanese or English, so you can reply between appointments. You get a reply within two business days.
