What an online booking system changes for a clinic
A clinic online booking system lets patients book, change or cancel from their phone at any hour. Reception takes fewer calls and visits spread more evenly through the day.
- Fewer phone calls: the rush right after opening and after the lunch break calms down
- Predictable waiting times: you control how many patients arrive in each time slot
- Bookings after hours: people who can only book in the evening or on days off can still reach you
- Fewer surprises: a reminder the day before makes it easy for patients to cancel early
- Useful data: booking patterns by weekday and hour help you plan doctor and staff schedules
Start by writing down your biggest pain point: phone load, waiting times or no-shows.
Choosing a booking method: time slots or queue numbers
Clinics in Japan mostly use one of two methods, and each suits different kinds of practice.
- Time-slot booking: the patient picks a slot such as 10:00–10:15. It works well for dental care, self-pay dermatology, health checkups and consultations, where each visit has a predictable length
- Queue booking (順番予約): the patient takes a number and gets a notice when their turn is close. It suits internal medicine, pediatrics and ENT, where walk-ins are common and consultation times vary
- Mixed setup: many clinics use a queue for general visits and time slots for vaccinations or checkups
- First visits: new patients need more time, so give them separate slots or pair booking with an online questionnaire
Keep some capacity offline. Slots for phone and front-desk bookings, plus room for urgent cases, help elderly patients and same-day needs.
Tell us your departments and how patients book today, and the demo will reflect the method that suits you.
A checklist for comparing clinic booking tools
There are many booking systems built for medical practices in Japan, with very different features and pricing. Typically you see setup fees from zero to a few hundred thousand yen and monthly fees from a few thousand to tens of thousands of yen, depending on the plan and integrations. Put the candidates side by side on these points:
- Flexible slots: separate schedules and durations per department, doctor, first visit and return visit
- EMR and billing integration: does it connect to your electronic medical records or receipt system, or will staff enter everything twice?
- Online questionnaire: can patients fill in symptoms and history before they arrive?
- Reminder channels: email, SMS, LINE – which ones are supported?
- Patient experience: can patients book without creating an account, in a few taps on a phone?
- Admin screen: can reception add phone bookings in the same place and see a clear daily list?
- Security: encryption, access permissions and a clearly stated data storage location
Medical history and symptoms count as sensitive personal information under Japan's privacy law, so ask vendors how they follow the Ministry of Health, Labour and Welfare's security guidelines for medical information systems. For booking tools in general, see websites with a booking system.

Adding booking to your website and setting up LINE reminders
A booking system only works if patients can find it. Design a clear path to it, phones first.
- Button placement: a fixed booking button at the bottom of the phone screen, plus one in the first screen of the home page and on each treatment page
- Short notes before booking: what to bring on a first visit, insurance card or My Number card, and how to cancel
- Embed or link: decide based on the tool's options and how well each version reads on a phone
- Google Business Profile: add your booking URL so patients can book straight from Maps
- Tracking: measure booking button clicks in GA4 to see which pages lead to bookings
LINE reminders work well because patients already check LINE every day. Many clinic booking tools connect to a LINE Official Account: once a patient adds the clinic as a friend and links their booking, reminders the day before or "your turn is coming" notices go out automatically. Each LINE Official Account plan includes a set number of free messages per month, so estimate your patient volume and number of reminders to pick the right plan.
The free demo lets you click from the booking button through to the LINE reminder flow.
Common pitfalls and Japan's medical advertising rules
How you run the system day to day matters as much as which one you pick.
- Phone bookings stay in a paper book, so double bookings happen alongside online ones
- Online slots do not match real doctor schedules, and bookings pile up at certain hours
- Nobody explains how to cancel or change a booking, so calls go up again
- Elderly patients get no guidance and are told at the desk that they "should have booked online"
- Booking pages promise results or show patient testimonials
The last point needs special care. Clinic websites in Japan fall under the medical advertising guidelines (医療広告ガイドライン), and that includes the wording on booking pages – exaggerated claims and before-and-after photos are regulated. The guidelines are revised from time to time, so check the latest version from the Ministry. To see how booking fits into your wider patient acquisition, read clinic patient acquisition.

FAQ
Does the free demo include the booking flow?
Yes. The demo centers on the home page and shows where the booking buttons sit and how the booking screens follow. If you have not chosen a booking tool yet, a placeholder screen shows the flow. You decide whether to continue after seeing it.
Can we keep the booking system we already use?
In most cases, yes. If your tool provides a booking link or embed code, we place it on the new site to match the design.
Do we pay the booking system fees to UNANOBO?
The booking system and LINE Official Account contracts are normally made directly between your clinic and the provider, in your clinic's name. That way your booking data and accounts stay with you whoever builds your site. Website costs come as a plan and estimate after the demo.
What should we prepare?
Your opening hours and closed days, rough consultation times per department, the share of first and return visits, and how patients book today. Send your current website address if you have one. Logos and clinic photos can follow later – placeholders work for the demo.
How long does it take to launch?
Typically one to two months for a small clinic site, depending on the number of pages and the booking tool setup. Starting the booking provider's sign-up during the demo stage speeds this up.
Is working remotely by message a problem?
Not at all. Everything runs by message in Japanese or English, with screenshots and links to review. Replies come within two business days.
